Working with the Compliance Portal

Our Compliance Portal provides property managers with everything they need to manage and report on the compliance of their property portfolio.

It's simple to set up, easy to use and contains the compliance history of each property, including invoices, service reports and quotes for all services and upcoming and past bookings. Property managers can use this tool to quickly address issues relating to property access, confirm key collections or even request urgent callouts.

Compliance Portal Portfolio The new Portfolio page allows you to see all your properties by the property manager and has many new filters to get the information you need.

 

Getting set up

Accessing the Compliance Portal See the login websites for the compliance portal, or submit a ticket to get set up for the portal.
Setting up Agency Staff For each of your staff members that need to access the compliance portal, you'll need to set them up as a user.
Integrate Property Management Software Integration is a great feature that allows your property management software to connect to the compliance portal. This will allow access to important information such as property information, lease details, tenant details, and key details.

 

How to use the Compliance Portal

Managing Key Collections The key management page provides an overview of all keys required to complete a service. You can confirm key pickup, report if a key is unavailable, or indicate that the tenant is home.
Managing quotations You can view, accept, or decline pending quotations. You can also request a reissue of an expired quote or email the quote to the landlord from this page.
Request a service You can request a service for properties. This might include inter-tenancy, warranty, urgent or standard requests.
Update lease agreement details You can update the lease details. If you have set up integration this information will be imported directly from your property management software.
Update tenant details You can update tenant details. If you have set up integration this information will be imported directly from your property management software.
Update or add key details You can update key details. If you have set up integration this information will be imported directly from your property management software.
View and email service reports You can access all service reports for properties serviced. You can view and email them to the landlord if necessary.
View all documents for a property The documents area allows you to see all service reports quotes and invoices for a property.
View upcoming and completed bookings The bookings page shows all upcoming and completed bookings.
Viewing overdue properties You can view the overdue services page which will display a list of properties that are overdue for service.

How to cancel a property If you want to cancel a property from DI services, quickly do this in the compliance portal.
How to place a property on hold By placing a property on hold, we will not contact the tenants or create bookings.
